Role
The procurement administrator is responsible for assisting the on-site teams with the procurement of cable, ducts and materials.

Responsibilities
To deliver multi-utility projects from initial inception through to final energisation/completion.
Project Management
- To attend initial site surveys and identify the best route for the utility infrastructure working closely with the design team or appointed labour/sub-contractors
- To be able to convey all electrical, gas, water, civil and substation design requirements to the client and assist in ensuring these are met ahead of programme
- To be able to lead site meetings and advise the client on the process from initial inception through to on-site delivery
- To be able to successfully manage subcontractors in line with programmes and budgets
- To be able to draft Risk Assessments and Method Statements (RAMS)·
- To be able to manage the procurement on projects in line with programme and requirements, liaising successfully with our onsite teams and subcontractors
- To keep all project programmes and trackers updated
Contract Development and Negotiation
- Assist in the drafting, review, and negotiation of contracts, agreements, and amendments with utility service providers, contractors, clients and vendors.
- Ensure all contracts comply with legal requirements, company policies, and industry standards.
- Collaborate with legal, procurement, and technical teams to ensure contract terms are favourable and risks are mitigated.
Contract Administration
- Oversee the execution and administration of contracts, ensuring all parties adhere to terms and conditions.
- Maintain a comprehensive contract management system for tracking contract status, deadlines, and compliance.
Performance Monitoring and Reporting
- Monitor contractor and vendor performance to ensure adherence to contractual obligations and service level agreements.
- Conduct regular audits and reviews of contract performance, identifying and resolving any issues or discrepancies.
- Prepare and present detailed reports on contract performance, risks, and opportunities to senior management.
Risk Management
- Identify, assess, and mitigate risks associated with contracts.
- Ensure all contracts have appropriate risk management provisions, including insurance, indemnity, and liability clauses.
- Develop and implement risk management strategies to protect the organization’s interests.
Stakeholder Collaboration
- Act as the primary point of contact for internal and external stakeholders on contract and project related matters
- Foster strong working relationships with clients, utility service providers, contractors, vendors, and regulatory agencies.
- Provide guidance and support to project managers and other staff involved in contract execution and management.
Compliance and Continuous Improvement
- Ensure all contracts comply with relevant laws, regulations, and company policies.
- Stay up-to-date with industry best practices, legal developments, and regulatory changes affecting utility infrastructure contracts.
- Continuously seek opportunities to improve contract management processes and practices.
Budget Management
- To be able to manage the budget on multi-utility projects and to ensure any changes of scope are identified, captured and variations raised.
- To be able to successfully manage client expectations whilst protecting the businesses commercial interests
Traffic Management
- To be able to raise, through our TM team, Section 50 and TTRO notices and liaise with the council to ensure that all traffic management requirements are adhered to (including opening and closing notices etc).
- In collaboration with the project manager and subcontractors, walk the proposed electrical route and identify the civils and traffic management requirements including any required parking bay suspensions, road closures etc.
- Oversee with our TM team all the administration involved in raising Section 50, TTRO and permit applications including liaison with internal personnel to ensure you have all required information and that all payments are made quickly so as not to delay the process.
Supplier Management
- Build long term, mutually beneficial relationships with suppliers and councils across the UK, auditing their costs & delivery performance regularly and addressing any issues.
- Consistently looking for opportunities to save costs and improve the delivery of the project through excellent supply chain management.
- Audit the costs and delivery of subcontractors in respect of projects and, where required, hold performance meetings and reviews to ensure clarity on AIS’s expectations in respect of delivery.
- Procure materials as required on projects liaising closely with the back office team to ensure timescales and programme can be achieved.
- Obtain all STAT plans ahead of planned works and provide to the site team.
Supplier Management

Consistently review the performance, supply chain and processes in respect of the projects to ensure operational efficiencies are identified and implemented and that our supply chain is consistently reviewed for best value. You will proactively look for cost saving and time saving measures that will assist in driving greater value for the business.
